High-converting service businesses standardize those questions, and their receptionists, human or AI, weave them into conversation instead of reading them like a form.
New or existing customer?, routes the conversation and sets the tone. What do you need, in your own words?. The verbatim answer is gold for your follow-up call. How urgent is it?, separates tonight’s emergency from next month’s project. Where are you located?, service-area fit before anyone drives anywhere. Best number (and time) to reach you?. The follow-up handshake.
The skill is in the delivery: acknowledge first, then ask. “Ugh, no heat overnight: that’s miserable. Let’s get someone out to you. What’s the address?” Each answer should be captured as structured data, a label and a value: not buried in a paragraph, so your CRM and your follow-up calls can actually use it.
Review your intake labels monthly. If your team never uses an answer, stop asking the question; every question you drop shortens the call and raises completion.
